The Users view in Sitemate Start

Learn what the Users view is and how it helps Account Admins monitor user access across their Sitemate Start account.

Written by Nina Yang

The Users view in Sitemate Start gives Account Admins a single, read-only place to see every user across their Sitemate Start Account, without having to open each workspace individually. This article covers what the Users view is, when to use it, and how to find a specific user.

Definition

The Users view is a list of all users in your Sitemate Start Account, aggregated across every workspace in that account. Users are split across three tabs:

  • Workspace Users: people with access to one or more Dashpivot, Flowsite or Gearbelt workspaces in the account.

  • Sitemate Free: workers who use the Sitemate Mobile App or Sitemate Mobile Web and have been added to a workspace in the account.

  • Sitemate Paid: workers with ongoing access to submit forms through Sitemate Links in the account.

You cannot add, remove, or edit users from Sitemate Start. Those actions must still be done from inside the relevant workspace.

What it's used for

The Users view is used to:

  • Audit user access: quickly answer questions like "Who has access to which workspaces?" or "Does this person still need access?"

  • Find a specific user across a large account without opening every workspace.

  • Identify cross-product users: see at a glance who uses Dashpivot, Flowsite and Gearbelt within your account.

  • Prepare for licensing reviews: get an aggregate view of who is consuming seats across your account.

When to use it

Use the Users view when:

  • A new manager joins and needs a view of everyone in their organisation.

  • An employee leaves and you want to confirm they have been removed from every workspace.

  • You're preparing for a renewal or licence review and need an accurate user count.

  • You need to find a user but don't remember which workspace they're in.

Open the Users view

  1. Open your Sitemate Start Account from the Workspace Switcher.

  2. Click All Users in the navigation panel.

  3. Select the Workspace Users, Sitemate Free or Sitemate Paid tab to switch between user types.

Search for a specific user

  1. Use the Search box at the top of any tab.

  2. Type a name or email address. The list filters as you type.

Workspace Users

The Workspace Users tab lists everyone with access to a Dashpivot, Flowsite or Gearbelt workspace in the account. It shows each user's First Name, Last Name, Email, Permission and Workspace Access.

View workspace access details

Click the Workspace Access button in the user's row to see every workspace they belong to, including:

  • Full name and avatar

  • Each workspace they belong to across all Sitemate products

  • The last time they were active in that workspace, who invited them and the date they joined the workspace (if the information is available)

To change a user's workspace-level permission, open the relevant workspace and update it from there. Workspace-level user management is unchanged.

Sitemate Free and Sitemate Paid users

Workers can submit forms into your workspaces without full access to Dashpivot or Gearbelt, using the Sitemate Mobile App, or Sitemate Mobile Web in any browser, with no download needed. See what you can do on Sitemate Mobile Web.

Sitemate Free users

Sitemate is free for anyone to use. Workers can set up a Sitemate ID in the Sitemate Mobile App, be scanned onto forms using the Scan Sitemate ID field, and submit forms into your workspaces. Learn how to set up a contactless sign-on process.

Sitemate Paid users

Sitemate Paid users have ongoing access to submit forms from specific templates. They're created automatically when someone opens or scans an Ongoing Submission Sitemate Link. Sitemate Paid users can't access Dashpivot or see other people's submissions. Learn more about Sitemate Paid users.

What you can see

The Sitemate Free and Sitemate Paid tabs both show each user's First Name, Last Name, Company and Workspace Access.

Click the Workspace Access button in the user’s row to see which workspaces a user has submitted forms to.

Why a user appears in more than one tab

Tabs are based on how each person accesses each workspace, so one person can appear in more than one tab. For example, someone who is a Sitemate Free user in one workspace and a Sitemate Paid user in another appears in both tabs. Each tab only shows the workspaces relevant to it.

Notes / Tips

  • The users lists are read-only. You cannot invite, remove, or change workspace permissions from this view. Use the Users page in the relevant workspace to make those changes. See How to add users to your Dashpivot workspace.

  • Pending invites are not currently shown in the Sitemate Start Account.

  • Within each tab, a user appears once even if they belong to multiple workspaces. Their workspace memberships are shown when you click the Workspace Access button.

  • Search, sort and paging are server-driven. Even accounts with thousands of users stay fast and complete — load-tested against accounts with 5,000 users.

  • The Last Active and Date Joined columns sort Newest to Oldest on the first click. Users with no date in those columns stay at the bottom regardless of sort direction.

  • Sorting uses the same visual style as Register and Lists: an active sort shows a light-blue arrow, unsorted columns show an idle arrow.
