This works well for remote toolbox talks, where all company or project personnel can complete a toolbox meeting electronically and submit a record directly into your Dashpivot account. All submitted records are automatically organized into a register in Dashpivot, making it easy to see who has completed the toolbox and when.

How to create a Single Submission Sitemate Link for remote toolbox talks

  1. Go to the team folder where you want your toolbox records to be submitted

  2. Go to the Templates section

  3. Go to the Links tab

  4. Make sure you are in the Single Submission section (this is the default). If you are in the Ongoing Submission section and create a link, every person who submits a toolbox will become a paid Sitemate Form User

  5. Click Create Link

  6. Give your link a name and select your toolbox template

  7. Click Create

Note: if you don't have a toolbox template yet, you can access a free one from the Public Template Library. For a remote toolbox talk where the topic is pre-written (e.g. by a safety manager), much of the information on the template will need to be pre-filled text — this can be added via the template editor.

Once created, distribute the Sitemate Link to the relevant personnel so they can fill out and submit the toolbox.

How to get personnel to complete and submit toolbox talks

Send the newly created link to the relevant people so they can complete the toolbox. There are two options:

  • Copy the link and send it as a URL — for example, via email or text message

  • Download a QR code poster that opens the link when scanned with a smartphone, and stick it on the wall of your site or office

When someone clicks the link or scans the QR poster, the toolbox template is added to their Sitemate app for them to complete and submit.
