How to Set Up Work Order Notifications on Gearbelt

Learn how to configure work order notifications so users are alerted when a work order is assigned to them.

Gearbelt automatically sends notifications when a work order is assigned to a user. By configuring work order notifications, you can ensure the right people are alerted as soon as a task is assigned to them, helping teams action work orders promptly and keep operations running smoothly. Notifications can be delivered by email or SMS, giving you flexibility in how your team is reached.

Prerequisites

Before you begin, make sure you have the following:

  • Plan: All Plan Types

  • Permission: Admin

  • Skills Required: Gearbelt Navigation

  • Device Type: computer

  • Subscription: Gearbelt

Step-by-Step Instructions

  1. Go to Settings under Admin in the left-hand navigation menu.

  2. Select the Notifications tab.

  3. Select the Work Orders tab.

  4. Choose the notification channel(s) to use when a work order is assigned:

    • Email: Sends an email notification to the assigned user. Enabled by default.

    • SMS: Sends an SMS notification to the assigned user's registered mobile number. Toggled off by default — toggle SMS on to enable it.

  5. Click Save to apply your notification settings.

Notes

  • SMS notifications are disabled by default and must be enabled by an Admin.

  • If SMS is selected as the only notification channel and the assigned user does not have a phone number on their Gearbelt account, Gearbelt will send the notification by email instead.

  • Mobile numbers associated with user accounts must be valid mobile numbers. Non-mobile numbers (for example, landlines) and incorrectly formatted numbers are not supported.

  • If an SMS notification fails to deliver, contact Sitemate Support with the work order details and the recipient's number so the team can investigate.
