How to Generate Schedule Notifications on Gearbelt

Generating schedule notifications in Gearbelt allows you to automatically notify users about upcoming scheduled events. This helps ensure important maintenance tasks and deadlines are communicated clearly and completed on time within your Gearbelt workspace.

Prerequisites

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission: Org Controller

  • Skills Required: Gearbelt Navigation

  • Device Type: computer

  • Subscription: Gearbelt

Step-by-Step Instructions

  1. Go to Admin and select Settings.

  2. Select Notifications.

  3. Select the Schedule tab.

  4. Select the Add Rule button.

  5. Enter a Rule Name.

  6. Under Schedule Conditions, define the conditions that must be met for an asset to trigger the service notification.

  7. Configure the required fields, including Next Reading, Next Schedule Date, Asset Tags, or Location as needed.

  8. Under Perform the following actions, choose how the notification will be sent:

    • Send email to location contact

    • Send email to specific addresses

    • Send SMS

  9. Enter the required email address or select a registered contact if prompted.

  10. Click the Save button.

An asset will be included in a service notification report only when all specified conditions in the rule are met.

The following conditions are available to customise your service notifications:

  • Next Service Date: Triggers the notification if the asset’s service date is due or overdue by a specific number of days.

  • Next Service Reading: Sends the notification only if the service reading (hours or mileage) is due or overdue by a specified amount.

  • Asset Tags: Triggers notifications only if the asset has a specific tag assigned.

  • Project or Location: Filters notifications based on where the asset is assigned at the time of the report.
