How to Create Work Orders on Gearbelt

Learn how to create work orders to assign tasks to your workshop team in Gearbelt

Work orders in Gearbelt allow you to assign maintenance or repair tasks to your workshop team. By creating a work order, you can organise tasks for a specific asset, assign responsibility, and track completion. This helps ensure work is completed efficiently while maintaining clear records for asset maintenance and operations.

Prerequisites

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission: Gearbelt Contributor

  • Skills Required: Gearbelt Navigation

  • Device Type: computer

  • Subscription: Gearbelt

Step-by-Step Instructions

  1. Go to the Work Orders section.

  2. Click the Create Work Order button.

  3. Select the asset for the work order.

  4. Tick the checkboxes next to each task to add them to the work order.

  5. Choose whether to set a due date and time for the work order.

  6. Assign the work order to a registered contact and optionally toggle Notify contact via SMS.

  7. Add additional details in the Instructions, PO Reference, or Comments fields.

  8. Click Save at the bottom-right corner of the screen.

Notes

  • Work orders can only include tasks from a single asset.

  • Admin users can manually close work order tasks.

  • To close a work order, an admin user must change its status to Closed after all tasks are completed.

  • Only work orders with all tasks completed are eligible for a status update to Closed.
