Closing out work orders in Gearbelt ensures your maintenance records accurately reflect completed work and keeps your workspace up to date.d keeps maintenance records up to date.

There are three ways to close out work orders in Gearbelt: manually from the work order details pane, automatically when the related work is completed, or in bulk from the Work Orders register.

Prerequisites

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission: Gearbelt Contributor

  • Skills Required: Gearbelt Navigation

  • Device Type: computer

  • Subscription: Gearbelt

Step-by-Step Instructions

Manually close out a work order

  1. Go to Management in the left-hand navigation menu and select Work Orders.

  2. Select the relevant work order to open its details pane.

  3. Review the tasks assigned to the work order. Issues and Schedule Checks are shown in their own dedicated views, and each view can be filtered by Open or Closed status or searched by name.

  4. Click each task individually and update the task status to Close.


Automatic completion

Gearbelt automatically closes an item when the work linked to it is completed — no manual close-out is required.

  1. Complete the work linked to the item, for example by submitting the schedule form for the asset.

  2. Gearbelt closes the matching item on any work order that includes that schedule check — even if the work was completed from a different work order.

  3. Once all items in a work order are complete, the work order is shown as complete and is ready to be closed out.

The Work Orders register displays the same fields as the work order details pane and supports bulk actions.

  1. Go to Management in the left-hand navigation menu and select Work Orders.

  2. Select the checkboxes next to the completed work orders you want to close.

  3. Select Close from the bulk actions to close out the selected work orders.

Notes

  • The Issues and Schedule Checks views also show when an item belongs to another work order. Select the x next to the work order reference to remove it from that work order if needed.

  • Bulk close applies to work orders, not individual items: the Work Orders register displays the same fields as the details pane and supports bulk actions, so multiple completed work orders can be closed at once from the register.
