How to Integrate Dashpivot Procurement & Inventory Tracking with Excel using Flowsite

Learn how to integrate Dashpivot procurement forms (Purchase Orders and Site Requests) with Excel using Flowsite to track inventory, purchases, and supplier data in real time

Written by Nina Yang

Procurement ensures the timely supply of materials, equipment, and services to meet project or workplace requirements. By integrating procurement data into Excel, you can streamline tracking, improve visibility, and maintain accurate records.

By integrating Dashpivot procurement forms with Excel via Flowsite, you can:

  • Automate tracking – Sync purchase orders and site requests in real time

  • Centralise data – Consolidate supplier details, quantities, and costs in one place

  • Improve visibility – Monitor procurement status and spending across projects

  • Strengthen cost control – Analyse purchasing trends and identify savings

  • Stay audit-ready – Maintain clear, traceable transaction records

How the data flows

Purchase Orders and Site Requests from Dashpivot are synced via Flowsite into Excel. These datasets are then structured into delivery and request tables, which feed into an inventory tracking template for reporting and analysis.

Inventory tracking

Inventory tracking is the process of monitoring the movement, usage, and availability of materials, tools, and equipment across projects or storage locations. It ensures items are available when needed, avoids shortages or overstocking, and supports accurate project costing.

Key features of this setup

1. Track hourly or daily inventory

  • Monitor stock levels, usage, and item movement in real time

2. Manual item entry

  • Add existing or legacy data alongside synced data

3. Low stock and overstock alerts

  • Automatically highlight items below minimum or above maximum levels

  • Set adjustable thresholds per item

4. Purchase and request register

  • Record all deliveries and requests, including supplier, requestor, quantity, and date

5. Filterable historical data

  • Filter by date, item, or category to analyse past activity

How to set up the integration

1. Connect Dashpivot to Flowsite

  • Log in to Flowsite.

  • Go to Connections.

  • Find Dashpivot and click Connect.

  • Enter your Dashpivot credentials and authenticate.

  • Confirm the connection appears in your Connections table.

Tip: Configure your Dashpivot data correctly to avoid errors in your Excel file.

2. Create flows for procurement data

  • Create a flow for the Purchase Order template.

  • Create a second flow for the Site Request template.

  • Choose Excel as the destination for both.

  • Set the sync schedule (e.g. hourly or daily).

  • Enter required fields: URL, username, and password.

3. Configure your Excel file

  • Structure separate tables for:

    • Order data (cost, quantity, delivery details)

    • Request data (requested quantities and release data)

  • Combine datasets into a single inventory tracking template

  • Use formulas (e.g. INDEX/MATCH) to retrieve item-level data

4. Test the workflow

  1. Submit a sample Purchase Order and Site Request in Dashpivot.

  2. Trigger the flows.

  3. Confirm the data appears correctly in Excel and updates inventory tracking.
