How to Upload a PDF When Filling Out a Form on Gearbelt

Learn how to attach a PDF document when completing a form on Gearbelt

The PDF Attachment field in Gearbelt allows operators and mechanics to upload PDF documents directly within a form submission, including Inspection, Schedule/Service, and Repair forms. This feature ensures important documents such as service sheets or compliance certificates are submitted alongside form data. It is available when completing forms via the Gearbelt Operator Web App at forms.gearbelt.com

Prerequisites

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission: Operator / Mechanic

  • Skills Required: Gearbelt Navigation

  • Device Type: Computer/Browser

  • Subscription: Gearbelt

Step-by-Step Instructions

  1. Scan the asset QR code using your mobile device.

  2. When directed to the logo page, select Press here to continue to Gearbelt.

  3. Open the form assigned to you (Inspection, Schedule/Service, or Repair)

  4. Scroll to the PDF Attachment field in the form

  5. Click or tap the upload button within the field

  6. Select the PDF file you want to attach from your device

  7. Confirm the file name appears in the field once uploaded

  8. Complete any remaining fields in the form and submit as normal

Notes

  • PDF uploads are only supported via a web browser at forms.gearbelt.com. If you are using the Sitemate Mobile app, the PDF Attachment field will display a “this field is unavailable” message—switch to a browser to submit forms with PDF attachments.

  • Supported file type: PDF only.
