How to Add a PDF Attachment Field to a Form on Gearbelt

Learn how to add a PDF Attachment field for uploading documents within form submissions

The PDF Attachment field in Gearbelt allows operators and mechanics to upload PDF documents directly within a form submission, such as service sheets, compliance certificates, or work orders. This feature helps centralise documentation and ensures important files are captured alongside form data. Admin users can add this field to any form template (Inspection, Schedule/Service, or Repair) using the Form Builder in the Gearbelt Web App (GBW).


Prerequisites

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission: Admin

  • Skills Required: Gearbelt Navigation

  • Device Type: Computer/Browser

  • Subscription: Gearbelt

Step-by-Step Instructions

Inspection Forms

  1. Go to the Inspections section under Management in the left-hand navigation menu.

  2. Select Inspection Forms at the top.

  3. Click on the template you want to edit, or create a new one by clicking Create Inspection Form.

  4. In the Form Builder, find the PDF Attachment field in the field palette on the right

  5. Drag and drop the field into the desired position in your form layout

  6. Click the field to open its settings panel

  7. Enter a Label (e.g. "Upload Compliance Certificate", "Attach Service Sheet")

  8. Click Save

Schedule / Service Forms

  1. Go to the Inspections section under Management in the left-hand navigation menu.

  2. Select Schedule Forms at the top.

  3. Click on the template you want to edit, or create a new one by clicking Create Schedule Form.

  4. In the Form Builder, find the PDF Attachment field in the field palette on the right

  5. Drag and drop the field into the desired position in your form layout

  6. Click the field to open its settings panel

  7. Enter a Label

  8. Click Save

Repair Forms

  1. Go to the Inspections section under Management in the left-hand navigation menu.

  2. Select Repair Forms at the top.

  3. Click on the template you want to edit, or create a new one by clicking Create Repair Form.

  4. Click on the template you want to edit, or create a new one

  5. In the Form Builder, find the PDF Attachment field in the field palette on the right

  6. Drag and drop the field into the desired position in your form layout

  7. Click the field to open its settings panel

  8. Enter a Label

  9. Click Save.

Notes

  • The Required toggle is not available for the PDF Attachment field in v1.

  • This field is not supported on Sitemate Mobile (SMM) in v1. Mobile users will see a “this field is unavailable” blank state. Full mobile support is planned for a future release.
