How to Add Conditional Logic to a Form Template on Gearbelt

Learn how to add show/hide rules to a Dropdown field in the Gearbelt Form Builder.

Written by Nina Yang

Conditional Logic in Gearbelt allows admins to configure show/hide rules on Dropdown fields in the Form Builder. When a user selects a specific value in a Dropdown, the fields configured under that rule appear — all other fields not matched by an active rule remain hidden. Conditional Logic applies across all Gearbelt form types: inspection, schedule, and repair forms.

Conditional Logic is live on Gearbelt Web and Gearbelt Mobile. No action is needed on existing forms that have no rules configured — they continue to work as before.

Prerequisites

  • Plan: All Plan Types

  • Permission: Gearbelt Admin

  • Device Type: Computer

  • Subscription: Gearbelt

Step-by-Step Instructions

  1. Navigate to the relevant form type — Inspections, Schedule Forms, or Repair Forms — and open the Form Builder for the template you want to edit.

  2. Select the Dropdown field you want to use as the trigger for conditional logic.

  3. In the field configuration menu, select Conditional Logic (or Add Rule).

  4. In the rule configuration panel, select the Dropdown value(s) that will trigger this rule. You can select more than one value — all selected values will activate the same rule and show the same fields.

  5. Add the fields you want to show into the rule block. These fields will only appear in the form when the matched Dropdown value is selected.

  6. To add another rule to the same Dropdown field, select Add Rule again and repeat steps 4–5 with a different set of values and fields.

  7. Save the template to apply your changes.

Notes

  • Conditional Logic supports a single logic layer only. Fields inside a rule block cannot themselves be configured as triggers for additional rules.

  • Only Dropdown fields can act as triggers.

  • Fields inside a rule block only appear when the matching Dropdown value is selected — they are hidden at all other times.

  • Existing forms with no rules configured are unaffected.
