How to Deploy a List on Dashpivot Web

Learn how to create a parent list framework and deploy a child list to each project in Dashpivot Web

List deployment in Dashpivot Web allows you to use a standard list framework across multiple projects while customising the list items for each project. This is useful when using the same company template (e.g. Site Diary) across projects, but needing project-specific dropdown values such as people, subcontractors, or cost codes. List deployment works with Templates in the Template Library and Lists in the List Library.

Prerequisites

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission:

    • Home Folder (Deploy lists to Project Folders) – Org Controller

    • Project Folder (Create lists in Deployed Lists) – Project Controller

  • Skills Required: Dashpivot

  • Device Type: Computer

  • Subscription: Dashpivot

Step-by-Step Instructions

Step 1: Create and Link the Parent List

  1. Go to the List Library in your Home Folder.

  2. Create a new list. This will be your parent list.

  3. When setting up the parent list, choose whether it will be:

    • Deployed Empty, or

    • Deploy Populated.

  4. (Optional) Import items from a CSV file to populate the list.

  5. Go to the Template Library.

  6. Create a new template or open an existing template.

  7. Add a category field or table field containing a list cell/column.

  8. Link the parent list you created.

  9. Save the template.

  10. Deploy the template to your project(s).

Step 2: Deploy the Child List to Projects

  1. Go back to the List Library.

  2. Select the parent list you created.

  3. Click Manage Deployment.

  4. Select the projects that require project-specific list items.

  5. Click Save Changes.

This will create a child list in each selected project.

💡 Tip: You can also access Manage Deployment directly from inside the list — no need to return to the list grid. Simply open the list from the Home folder and click the Manage Deployment button at the top.

Step 3: Configure the Child List in the Project

  1. Go to the relevant project.

  2. Open the Lists section.

  3. Open the deployed child list.

If the list was deployed empty:

  • Add the project-specific list items.

  • You can create new items (these will also be added to the parent list), or select from items already in the parent list.

If the list was deployed populated:

  • Review the copied items.

  • Manually add any new items that were added to the parent list after deployment — these do not sync automatically.

Step 4 (Optional): How to Bulk Deploy List Items on Dashpivot

If you have a parent list with many items and need to push specific items to a child (deployed) list, you can use the bulk deploy feature to add multiple items at once — instead of adding them one by one.

Before you start: The child list must already be deployed to a project or team folder. Only folders that already contain a deployed child list will appear as options.

  1. Go to Home Folder > List Library and open the parent list you want to deploy items from.

  2. Select the items you want to deploy by ticking the checkboxes next to each item. You can select as many items as you need.

    • Only active (non-archived) items can be selected for deployment.

  3. Once items are selected, a action bar will appear at the top of the list. Click the Deploy button in the action bar.

  4. A "Deploy Items to Child List" modal will appear. It will ask you to select a folder to deploy the selected items to.

    • Click the "Select folder..." dropdown.

    • A list of project/team folders that have an existing child list will be shown.

    • Select the folder you want to deploy the items to.

  5. Once a folder is selected, the Deploy button in the modal will become active. Click Deploy to confirm.

  6. The items will be deployed to the child list in the selected folder.

    • A green success banner will appear confirming the items were deployed successfully.

    • If any of the selected items already exist in the child list, they will be automatically skipped — no duplicates will be created.

  7. To verify, navigate to the project/team folder and open the child list. The newly deployed items should now appear alongside any existing items.

Tips

  • You can deploy to one child list at a time. If you need to deploy the same items to multiple child lists, repeat the process for each folder.

  • Archived items cannot be deployed. Make sure the items you want to deploy are in the "Active" state.

  • This feature is available to all plan types and does not require any settings to be enabled — it is always available to parent list admins.

Notes

  • When enabled, child lists are automatically created when the template is deployed to projects.

  • Auto-deploy copies all existing parent list items at the time of deployment. Any new items added later must be manually added to the child list.

How to edit properties in a Child List

By default, properties in a child list are inherited from the parent list and cannot be edited directly. To enable editing of child list properties, you'll need to update the Deployed List Editing setting on the parent list.

  1. Navigate to the parent list in the List Library (Home Folder).

  2. Open the list Settings.

  3. Set the Deployed List Editing dropdown to Enabled, then save your changes.

  4. Navigate to the child list in your Project Folder — you should now be able to edit its properties.

Notes

  • List activity tracking is not currently supported for lists. Any list properties edited on a child list will not be captured in the Activity Feed.
