How form versioning works in Dashpivot

Learn how form versioning works in Dashpivot and how version numbers change for Timeline and Workflow templates.

Timeline templates

Form versioning starts at Version 1 when you first create and save a form.

Each time you open the form, make changes, and save, the version number increases (e.g. 2, 3, 4).

This creates a clear edit history every time the form is updated.

Workflow templates

Forms created from workflow templates use a two-digit version number.

  • The version starts at 1.1.

  • Each time changes are saved, the second digit increases (e.g. 1.2, 1.3, 1.4).

The first digit increases when a form is reset back to the first workflow column (for example, when approval signatures are erased and the workflow starts again).

Example:
If a form is at version 1.5 in the third workflow column and you click Make Changes to erase signatures and move it back to the first column, it becomes 2.1. If it completes the workflow and is reset again, it becomes 3.1, and so on.

Downloaded PDFs

When you download a form as a PDF, the form version number appears in the PDF header.

This helps you track which version was downloaded, as further changes made in Dashpivot will update the online form version but will not update previously downloaded PDFs.

Reverting to a previous version

You can revert a form to a previous version directly from the activity sidebar in Dashpivot Web — no need to contact Sitemate Support.

To revert, open the form, click Show Activity, select the version entry you want to restore, and click Revert to this version. You'll see a read-only preview before confirming.

When a revert is completed, the activity feed records the action as Edited vN (Reverted to vM), where N is the new current version number and M is the version the form was reverted to.

This feature is available to org, project, and team controllers, and the form creator.
