How Form Versioning Works in Gearbelt

Learn how form versioning works in Gearbelt, where to find the Activity panel, and how versioning applies to different record types.

Gearbelt tracks changes made to submitted records in the Activity panel — showing what was updated, when it happened, and who made the change. Depending on the record type, changes are tracked either with full version numbering or as an activity trail only.

How versioning works

For form records — Inspection records, Repair records, and Schedule check records — versioning starts at v1 when the record is first submitted. Each time the record is edited and saved, the version number increases: v2, v3, v4, and so on. The device used is noted in each entry — for example, Created v1 (mobile). The original submission is always preserved and nothing is permanently overwritten.

For Issues and Work Orders, changes are tracked in the Activity panel without version numbers — you can still see what changed, when, and by whom, but no version label is assigned.

Where to find the Activity panel

The Activity panel is available inside any record drawer.

  1. Open the relevant record.

  2. Click Show Activity in the top right corner of the drawer.

  3. The Activity panel opens, showing all changes chronologically with the most recent at the top.

  4. Click Hide Activity to close the panel.

What the Activity panel captures

For form records (Inspection, Repair, and Schedule check records), each entry shows:

  • What changed — which fields, attachments, or details were updated

  • When it changed — date and time of the edit

  • Who made the change — the name of the user who submitted the edit

  • Which version — labelled sequentially (v1, v2, v3…)

  • Which device — whether the change was made on desktop or mobile

For Issues and Work Orders, each entry shows what changed, when, and who made the change — but no version label is assigned.

Can I see who made a change to a record?
Yes. Each entry in the Activity panel shows the name of the user who made the change, when it was made, and for form records, the version number and device used.

Can I revert a record to a previous version?
No. Reverting to a previous version is not currently supported. You can view earlier versions in the Activity panel but cannot restore them automatically — you would need to re-edit the record manually.

Is the Activity panel available on mobile?
Changes made on mobile are tracked and visible in the Activity panel. The panel itself is viewable on the Gearbelt desktop web app.
