How to Edit a Submitted Record in Gearbelt

Learn how to update inspection records, repair records, and schedule check records after they have been submitted in Gearbelt, and how to view the full edit history in the activity log.

Submitted records in Gearbelt can now be updated after submission. Every change is tracked in the activity log — so you can add missing information, attach files, or fix mistakes without losing the original audit trail.

This applies to:

  • Inspection records

  • Repair records

  • Schedule check records

Prerequisites

  • Plan: All plan types

  • Permission: Gearbelt Admin or Member

  • Device: Gearbelt desktop web app

  • Subscription: Gearbelt

Step-by-Step Instructions

  1. Navigate to the relevant section — Inspections, Issues (for repair records), or Schedules (for schedule check records).

  2. Open the record you want to update.

  3. Make your changes directly — update fields, add notes, or attach additional files.

  4. Click Save to confirm. The record is updated immediately and the change is logged in the activity log.

What Gets Tracked

Every edit to a submitted record is captured in the activity log. For each change you can see:

  • What changed — which fields or attachments were updated

  • When it changed — date and time of the edit

  • Who made the change — the user who submitted the edit

  • Which version — each edit is labelled sequentially (v1, v2, v3...)

  • Which device — whether the edit was made on desktop or mobile

The original submission is preserved as part of the version history — no information is permanently overwritten.

Viewing the Activity Log

To view the edit history for a record:

  1. Open the record.

  2. Click Show Activity in the top right corner.

  3. The activity panel opens on the right, showing all versions chronologically with the most recent at the top.

  4. Click Hide Activity to close the panel.

Each entry shows the version number, who made the change, and whether it was submitted via desktop or mobile.

Frequently Asked Questions

Can I edit any submitted record in Gearbelt?
Yes. Inspection records, repair records, and schedule check records can all be edited after submission. Changes are tracked in the activity log.

Does editing a record overwrite the original submission?
No. Every edit is versioned — the original submission and all subsequent changes are preserved in the activity log. Nothing is permanently overwritten.

Who can edit a submitted record?
Gearbelt Admins and Members can edit submitted records. Contributors with read-only access cannot make edits.

Can I see who made changes to a record?
Yes. The activity log shows the name of the user who made each edit, along with the version number, device used, and a summary of what changed.

Does editing a record affect exports or PDF documents?
Exported CSVs and PDF documents will reflect the most recent version of the record at the time of export. If you need a record of earlier versions, refer to the activity log inside Gearbelt.

Can I revert a record to a previous version?
No. Reverting to a previous version is not currently supported. You can view earlier versions in the activity log but cannot restore them automatically — you would need to re-edit the record manually.
