How to use Schedule Checks in Gearbelt Mobile Web

Learn how to find, view, and complete schedule checks in Gearbelt Mobile Web by submitting a schedule form record.

Gearbelt Mobile Web gives workshop teams a single place to manage their work directly from a mobile browser. The Schedule Checks tab shows the recurring checks due on your assets, like services, inspections, and tests. Gearbelt contributors complete a schedule check by submitting its schedule form record.

Before you begin, make sure you have the following:

  • Permission: Gearbelt Contributor

  • Skills Required: Gearbelt Navigation

  • Device Type: Smartphone

  • Subscription: Gearbelt

Step-by-Step Instructions

Finding a schedule check

  1. Open Gearbelt Mobile Web and select the Schedule Checks tab in the bottom navigation. Each schedule check card shows the schedule name, status (Open or Closed), schedule check label, and a due progress bar. Green means on track, red means overdue or due now.

  2. Use the search bar at the top to find a specific schedule check by name or asset.

  3. Select the sort icon next to the search bar to change how schedule checks are ordered.

  4. Select the filter icon to narrow the list by available fields such as Status or Asset.

Viewing a schedule check

  1. Select any schedule check card to open the View Schedule Check screen. You'll see the Asset, Status, Schedule, Due Check (the interval the check is due at), linked Work Order (if any), Schedule Form (the form to fill in), Schedule Form Record (the submitted record), a Due progress bar with Date Remaining and Hours Remaining, the check readings table, the Completed Date, Completed Unit, and Completed By fields, and Tags.

  2. Select the Schedule Form Record link to open the submitted record for a completed check. Any issues created from a Fail response on a pass/fail question will be listed on the record. Tap an issue to open it directly.

  3. Select the back arrow in the top left to return to the Schedule Checks register.Completing a schedule check

Note: Issues are only listed on the Schedule Form Record if the schedule form included pass/fail questions and a Fail response was given at the time of submission.

Completing a schedule check

To complete a schedule check, submit its schedule form record. This is the formal record of the check being done.

  1. Open the schedule check you want to complete.

  2. Select the FAB button (the blue circle in the bottom right) to open the action menu.

  3. Select Create [Schedule Form Name] to start the form record. The form name matches the schedule form set up for this check. You can also select Create Schedule Form Record further down the schedule check view to start the same form.

  4. Fill in the schedule form. Complete all the fields the form asks for.

    📓 Note: The schedule form record screen is protected against accidental data loss. If you navigate away before submitting — by swiping back or using the browser back button — a "Save changes?" prompt will appear. Select Save to keep your entries or Discard to leave without saving.

  5. If the form includes a pass/fail question and you select Fail, the full issue form opens. Fill in the issue details, then tap Submit to log the issue and continue. The issue is automatically linked back to the originating pass/fail check.

  6. Once you've completed all form fields, tap Submit to complete the schedule check. It will be marked as complete, a new check is scheduled for the next interval, and you are returned to an up-to-date register.

Note: When you submit a schedule form record, Gearbelt logs two separate entries in the asset's activity history: the form record submission and a Schedule Check Closed action. The Schedule Check Closed entry records who closed the check. This entry is visible in the Asset Activity tab — it is not yet visible in the schedule check drawer UI, which will be available in a future update.

The FAB menu also includes Create Work Order (if the check uncovers extra work) and Share as PDF (once the check is done).

Frequently asked questions (FAQs)

What does the due progress bar mean?

The progress bar shows how close a schedule check is to its due date or interval. Green means it's on track, red means it's overdue or due now.

How do I complete a schedule check?

Open the schedule check, tap the FAB button (blue circle in the bottom right), and select Create [Schedule Form Name] to start and submit the form record.

Can I create a work order from a schedule check?

Yes. From the FAB menu on any schedule check, select Create Work Order if the check uncovers extra work that needs to be tracked.

What happens after I submit a schedule form?

The schedule check is marked as complete, a new check is automatically scheduled for the next interval, and you are returned to an up-to-date register. Gearbelt also logs two entries in the asset's activity history: the form record submission and a Schedule Check Closed action showing who closed the check.

Can I view issues created from a failed check in a submitted schedule record?
Yes. Open the completed schedule check and tap the Schedule Form Record link. Any issues created from a Fail response on a pass/fail question will be listed on the record. Tap any issue to open it directly.

Does submitting a schedule form record close the check?
Yes. Submitting a schedule form record closes the associated schedule check. Gearbelt logs both the record submission and the check closure as separate entries in the asset's activity history, each showing who performed the action. Note: The Schedule Check Closed entry is not yet visible in the schedule check drawer UI — this will be available in a future update.

What happens if I navigate back while filling in a schedule form record?
If you have unsaved entries and navigate away — by swiping back or using the browser back button — a "Save changes?" prompt will appear. Select Save to keep your entries, or Discard to leave without saving.
