Sitemate vs Dashpivot Users: What’s the difference?

Learn the difference between Sitemate and Dashpivot users so you can allocate the right licenses for your team.

In your Users section, you’ll see four user types:

  • Dashpivot Contributors

  • Dashpivot Visitors

  • Sitemate Free

  • Sitemate Paid

Choosing the right user type depends on the level of access and functionality required.

To determine whether a staff member needs to be a Dashpivot Contributor or a Sitemate user (Free or Paid), refer to the access differences below:

Dashpivot Contributors

Dashpivot Contributors are typically required for internal administrators, managers, supervisors, leading hands, and foremen.

They have access to your Dashpivot workspace and can:

  • Record, access, and download data

  • Access and download data recorded by other users

  • Approve forms through workflows

  • Access project and team folders

  • Manage users (Controller level)

  • Set up project and team folders (Controller level)

  • Create and deploy templates (Controller level)

  • Create, edit, and share Sitemate Links

  • Use Scan & Sign to record workforce attendance (e.g. Toolbox Talks) record workforce attendance onto forms (eg: Toolbox Talks)

Sitemate Users

Sitemate users are suited for internal or external workers and operators who only need to submit forms.

They do not have access to your Dashpivot workspace. Instead, they submit data via Sitemate Links.

They can:

  • Submit forms and photos

  • View their own submissions

  • View a copy of forms they were scanned onto

They cannot:

  • Edit forms after submitting

  • Clone forms

  • Email forms

  • Receive workflow notifications

Sitemate Paid Users

Sitemate Paid users have ongoing access to specific templates for regular submissions.

Best suited for:

  • Timesheets

  • Machine and vehicle pre-starts

  • Take 5s

  • Job Safety Analyses (JSAs)

  • Any regularly repeated process

Sitemate Free Users

Sitemate Free users can submit a single form at a time (across one or multiple templates).

Best suited for:

  • Inductions

  • Site check-ins

  • Remote Toolbox Talks

  • Incident and near-miss reports

  • Room completion sign-offs


Example scenarios

  • A supervisor completing Site Diaries and scanning the team onto a Toolbox Talk must be a Dashpivot Contributor.

  • An operator submitting a daily pre-start (with no need to edit past forms) can be a Sitemate user.

  • A subcontractor submitting ITPs in a workflow who needs workflow notifications must be a Dashpivot user (Contributor or Visitor, depending on their email domain).

  • Workers submitting confidential induction information, who should not see other submissions, can be Sitemate users.

Choosing the right user type ensures your team has the access they need — without over-allocating licenses.


Some user examples:

  1. Your supervisor completes Site Diaries and scans the team on during a Toolbox Talk, they MUST be a Dashpivot Contributor

  2. Your operator only needs to submit a Pre-start every day, they do not need to go back and make edits to their Prestarts so they DO NOT need to be a Dashpivot Contributor, they can be a Sitemate user

  3. A subcontractor is submitting ITPs in a workflow and they need to be notified when the workflow has been completed they MUST be a Dashpivot user (Contributor or Visitor depending if they have an external email domain)

  4. Staff need to submit confidential information for inductions, they should not see other workers' submissions - they can be a Sitemate user
