How to Set Up Workflow Notifications Using the Person Field on Dashpivot

Learn how to use the Person field to send targeted workflow notifications in Dashpivot

Written by Adriana De Souza

On a form, the person field allows you to select, from a dropdown list, the name of any Dashpivot user who has been added to that team folder. This will notify them when the form hits a specific column in the workflow. We can also apply logic (permission limits) to the approval signatures using this field.

Prerequisites

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission: Dashpivot Contributor

  • Skills Required: Workflow automation

  • Device Type: Computer/Browser

  • Subscription: Dashpivot

Step-by-Step Instructions

Step 1: Add the Person field to the template

  1. Go to the template editor (you may require home folder access to do this)

  2. Drag across a "person" field into the template

  3. Regardless of where the Person field has been placed on the form, whoever has been selected when the form moves to the specified column, they will receive an email notification.

  4. Rename the field

Step 2: Set up the notification

  1. Navigate to the relevant workflow template (via the team folder)

  2. Select the bell icon at the top of the appropriate workflow column

  3. Click Person

Top Tip: Make the Person field required on the template, to ensure the email will always be sent to the specified person.

Apply logic to the approval signature (if required)

Step-by-Step Instructions

  1. Scroll to the approval signature, hover your mouse of the field and select apply logic

  2. Select IF "Person", equal or higher to, select "Your person field name"
