Workflow templates in Dashpivot allow you to automate approval processes and ensure important project information moves through defined stages with automatic notifications. This is ideal for managing permits, variations, change orders, timesheets, dockets, and other structured processes that require review and approval. Workflow templates help reduce delays, prevent missed information, and ensure forms reach the right stakeholders at the right time.

Prerequisites

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission:

    • Team Folder (Set workflow notifications) – Team Member (own notifications) or higher.

  • Skills Required: Dashpivot

  • Device Type: computer

  • Subscription: Dashpivot

Step-by-Step Instructions

  1. Go to the Home Folder (Template Library) or relevant Team Folder.

  2. Click Add Template and select Workflow as the template type.

  3. Create and name your workflow columns to represent each stage of the process.

  4. Click Add column to add more columns or use the red cross to remove a column.

  5. Add approval signature fields to your template.

  6. Ensure you have one less approval signature than the total number of workflow columns, as each signature moves the form to the next column.

Best Practices for Workflow Design

  • Ensure each workflow column represents a clear and necessary approval stage.

  • Avoid ambiguity by aligning each column with a specific approval step.

  • Assign clear user permissions to prevent forms progressing without the required approvals.

How Forms Progress Through Workflow Columns

  • Forms move to the next column when a required approval signature is completed by a user with the correct permissions.

  • If multiple approvers are assigned within the same column, only one approval signature may be required to progress the form.

Configuring Workflows for Additional Approvals

  • To require more approvals, add additional workflow columns. Each new column increases the number of required approval signatures by one.

  • Standard signature fields can be added to a workflow template, but they do not function as approval steps and do not move forms between columns.
