How to Set Up 3rd Party Visitor Access on Dashpivot Web

When working on projects with subcontractors, clients, or verifiers, you may need to share photos, forms, and other records captured and stored in Dashpivot. Instead of using email or manual methods, Dashpivot provides a dedicated user type called Dashpivot Visitors for controlled external access. This guide explains how to structure your folders and manage user types to securely provide 3rd party access in Dashpivot.

Before you begin make sure you have the following:

  • Plan: All Plan Types

  • Permission: Org Controller, Team Controller, Project Controller

  • Skills Required: Dashpivot

  • Device Type: computer

  • Subscription: Dashpivot

Step-by-Step Instructions

How to structure folders to support 3rd party access (Free Visitors)

  1. Set up your project folder.

  2. Within the project, create a Team folder for internal information only.

  3. Add the relevant templates to this internal Team folder.

  4. Add the relevant internal users to this Team folder as Dashpivot Contributors.

  5. Within the project, create a separate Team folder for information you want external users to access.

  6. Name this folder clearly (for example, “Client team” or “Quality team”) to avoid confusion for internal users.

  7. Add the relevant templates to this external Team folder.

  8. Add the relevant external users to this Team folder only as Dashpivot Visitors.

  9. Add the relevant internal users to this Team folder so they can access both the internal information and the information available to external parties.

How to Change Dashpivot Contributors to Dashpivot Visitors

  1. Go to the Home Folder.

  2. Navigate to the Dashpivot Contributors section.

  3. Find or search for the user.

  4. Select the user and choose Remove (copy their email address before removing them).

  5. If specific folder access is required, navigate to the relevant folder before proceeding.

  6. Go to the Dashpivot Visitors tab.

  7. Paste the user’s email address.

  8. Click Invite Users.

  9. Repeat this process across multiple Project or Team folders if required.

Users cannot be a Contributor in one folder and a Visitor in another. Removing them from the Home Folder removes them from the entire workspace. The user will receive a notification that they have been removed and re-added.
