What is a Dashpivot workspace?

Learn what a Dashpivot workspace is and how team, project, and home folders are structured

A Dashpivot workspace is the central environment where users and teams manage projects, data, and resources. It provides a structured way to collaborate using folders and shared tools.

Note: If you've just signed up for a self-serve trial, you're starting in the Lite Workspace — a simplified version of Dashpivot with a single starter workspace. The folder structure described in this article becomes available after switching to the full workspace.

A Dashpivot workspace is a Dashpivot feature that acts as the central hub where users and teams manage and collaborate on projects, data, and resources.

What it’s used for

It is used to structure work through a hierarchy of Home, Team, and Project folders, allowing users to access templates, lists, analytics, and settings in a shared environment. It also supports collaboration across multiple teams and projects.

Dashpivot uses a hierarchical folder structure made up of Team folders and Project folders. This structure is flexible and can be configured in different ways (examples are covered below).

In the Lite Workspace, this structure is simplified to a single starter workspace to help you get started quickly.

When to use it

Dashpivot uses a flexible, hierarchical structure made up of three main folder types:

Home folder

Your workspace also includes a Home folder, which contains:

  • Activity – You can view activity history, such as newly created or edited templates, and templates or forms that were recently removed or archived

  • Users – View the different user types: Dashpivot Contributors, Dashpivot Visitors, Sitemate Free, and Sitemate Paid

  • List Library – Add lists or access existing lists to edit

  • Template Library – A library of all templates created by users with permission. Only Org Controllers can create and edit templates in the Home folder

  • Actions – Access a register view of all actions in templates. Only Org Members and Org Controllers have access

  • Analytics – Access a summary of the Analytics dashboard. Only Org Controllers can create, edit, or delete dashboards

  • Settings – Access workspace settings and Sitemate Start

  • Workspace Settings

    • General – Edit your workspace name, Sitemate Start Account ID, industry, role, and more

    • Branding – Edit your logo and brand colour

    • Documents and Formatting – Edit your workspace timezone and control how dates and times appear in forms

    • Feature Access – Toggle features on or off to control access to features such as AI Templates or Dashpivot Mobile (upgraded camera)

  • Sitemate Start

    • General – Edit your Sitemate Start account name

    • Global Billing – Update billing settings that apply to all product subscriptions (not only Dashpivot)

    • Dashpivot Billing – Manage billing settings specific to your Dashpivot subscription, across all workspaces

    • Dashpivot Usage – View tables summarising your usage against the limits of your current Dashpivot plan

    • Security

      • Toggle SSO and permissions, including Single Sign-On (SSO) and MCP access

      • MCP allows members to query and interact with their Dashpivot data using AI tools like ChatGPT, with access equivalent to the connecting user

Project folders

Each Project folder includes:

  • Activity – You can view activity history, such as newly created or edited templates, and templates or forms that were recently removed or archived

  • Users – View the different user types: Dashpivot Contributors, Dashpivot Visitors, Sitemate Free, and Sitemate Paid

  • Lists – Add lists to your project folder that can be used in templates

  • Settings

    • Photo tags – Editable photo tags help keep photos organised and easy to find. Project photo tags appear in every team folder within the project, but can only be created and edited in the Project folder

    • Project alignment – By uploading a KML file of the project alignment, users can see where photos were taken relative to that alignment. When viewing a photo, the alignment appears in the map panel on the left side of the screen

Team folders

Each Team folder includes:

  • Activity – You can view activity history, such as newly created or edited templates, and templates or forms that were recently removed or archived

  • Users – View the different user types: Dashpivot Contributors, Dashpivot Visitors, Sitemate Free, and Sitemate Paid

  • Photos – Upload photos and files from your computer

  • Templates – Create, add, or archive templates in the Team Folder Library (only users with Controller permissions can do this)

  • Analytics – Access a summary of the Analytics dashboard (only Org Controllers can create, edit, or delete dashboards)

  • Settings – Access project photo tags. Editable photo tags help you keep your photos organised and easy to find. Team photo tags only appear in the specific team folder where they are created

The Lists section is used to manage standard lists (for example: people, plant, cost codes, subcontractors) that can be referenced across multiple templates.

Access across workspaces

Users can access multiple Dashpivot workspaces, making it easy to collaborate across different teams and projects.
