If your Power BI dashboard is connected to Flowsite but some records or fields are missing, this article covers the most common causes and how to fix them.
What's happening
Data is loading from Flowsite into Power BI, but some records, columns, or fields are absent or appearing incomplete compared to what is in Dashpivot.
Why this happens
The wrong template or folder was selected when setting up the flow
Forms are at a workflow stage not included in the integration
A template field was added, renamed, or deleted after the flow was configured, breaking the Power Query column mapping
Certain field types (e.g. Date Range, Photos, Signature) produce multiple columns and may not be mapped correctly in Power Query
The flow has not run since new data was submitted — the CSV is out of date
How to fix it
1. Trigger the flow manually and refresh
In Flowsite, open the flow and click Trigger flow manually. Once the run completes, refresh the data in Power BI to pull the latest CSV.
2. Confirm the correct template and folder are connected
In Flowsite, open the flow and verify the Dashpivot template and folder selected match the data you expect to see. If a new template was created to replace an old one, the flow will need to be updated to point to the new template.
3. Check workflow stage filters
If your Dashpivot template uses a workflow, forms at certain stages may not be included in the integration. Confirm with your Solutions Engineer which workflow stages are configured for export.
4. Review Power Query column mapping
If a field was added, renamed, or deleted in Dashpivot after the flow was set up, Power Query steps may reference columns that no longer exist or have changed names. Open Power Query Editor and review the Applied Steps for any errors. If you are not familiar with Power Query, contact your Solutions Engineer to reconfigure the steps.
5. Account for multi-column field types
Fields such as Date Range, Date Time Range, Photos, Signature, and Yes/No produce more than one column in the export. Confirm your Power Query steps account for all expected columns from these field types.
If the issue continues
If a field was deleted from the Dashpivot template and data has been lost, this cannot be recovered. Going forward, export data as a CSV from Dashpivot before making major template changes. Contact your Solutions Engineer if the column structure still does not match after reviewing Power Query steps.
