How to edit and use Sitemate Profile Fields in Dashpivot Web templates

Learn how to add Sitemate Profile fields to Dashpivot templates so forms auto-fill with user details like name, company, and phone number — saving time on repeat data entry.

Sitemate Profile fields automatically fill with a user's saved profile data (such as their Name, Company, or Phone Number), so they don't have to enter these details manually every time. They're useful for inductions, sign-on/sign-off, daily diaries, or anywhere a person has to re-enter their own information on a form.

Sitemate Profile fields can be added to templates via Dashpivot Web and captured in forms across Dashpivot Web, Dashpivot Mobile, and the Sitemate Mobile app.


Before you begin make sure you have the following:

  • Plan: Standard, Pro, Premium, or Platinum

  • Permission: Org Controller

  • Skills Required: Dashpivot

  • Device Type: Computer/browser


How to add a Sitemate Profile field to a template

  1. Create a new template or open an existing template to edit it.

  2. In the fields panel, scroll to the Sitemate Profile section (located directly beneath the Table section).

  3. Drag any of the following Profile fields into your template.

  4. Configure the Required, Hide in Form PDF Exports and Exclude in Form Cloning settings as needed.

  5. Save your template.

Notes:

  • Exclude in Form Cloning: When a form is cloned, each Profile field re-fills with the cloning user's own profile details by default (not the original creator's). Select this button to leave the field empty in cloned forms instead.

  • Profile field values, including Phone, appear in CSV and PDF exports and can be viewed and exported by anyone with access to the project. Users can edit or clear a value before submitting if they don't want it shared.

  • Profile fields are user-editable, so treat them as convenience pre-fill rather than verified records.


How a Sitemate Profile field appears on forms

When someone creates a new form from a template that contains Profile fields, those fields fill in automatically with the form creator's saved profile data. There's no need to type anything in.

  • Name and Phone are pulled from the user's profile.

  • Company is filled with the workspace name in Dashpivot Web and Dashpivot Mobile. In the Sitemate Mobile app, Company is filled with the user's own company name from their Sitemate profile.

Auto-filled values are still editable. A user can update any Profile field on the form before saving or submitting it. If part of a user's profile is empty, the matching field is simply left blank for them to complete manually.

Profile fields across mobile

Profile fields work in both mobile apps, with two differences worth knowing:

  • Dashpivot Mobile: Profile fields pre-fill when the form is created and stay editable, including offline.

  • Sitemate Mobile: Profile fields pre-fill when the form is created. If a user changes a Profile field value before submitting, they'll be prompted with an option to update their Sitemate profile to match, or to continue without changing it. Once a form is submitted in Sitemate Mobile, values are locked, consistent with all other fields.
