Storm's AI Form Fill feature allows workers and teams to capture information naturally while Storm drafts form responses for review before submission. This feature is designed for teams using Sitemate Mobile who want to reduce manual data entry and streamline workflows such as inspections, site diaries, meeting minutes, and daily reports.
Prerequisites
Before you begin make sure you have the following:
Plan: All Plan Types
Permission: All users
Device Type: Mobile Device
Subscription: Sitemate Mobile
Device Permissions: Microphone permissions enabled
Step-by-Step Instructions
Step 1: Open AI Form Fill on Sitemate Mobile
Open a form in Sitemate Mobile.
Tap the Storm button at the bottom of the form.
The AI Form Fill canvas will open.
Step 2: Record a Voice Note
Tap the microphone button.
Start speaking naturally.
Tap stop when finished.
💡 Tip: Use exact times where possible — '08:30' rather than 'around 8'. Storm flags approximate times for review rather than assuming.
📓 Note: If an incoming phone call interrupts your recording, you can resume recording after the call ends. All audio captured before the interruption is preserved — no audio is lost.
Step 3: Add a Photo and Other Context
Tap the camera icon to take a photo using your device camera.
Add typed notes to the AI Form Fill canvas as needed.
📓 Note:
When you take a photo via the native camera, GPS location, original capture time, tag groups, and description are automatically captured as metadata on that photo. You do not need to enter this information manually. This feature requires the latest version of the Dashpivot Mobile App.
Sitemate Mobile supports one photo per AI Form Fill session. For forms requiring multiple photos, run additional AI Form Fill sessions.
💡 Tips:
Frame photos deliberately — a close-up of a defect reads as defect evidence, a wide shot reads as site context. For dockets, nameplates, and labels, shoot flat and square-on in good light.
GPS location and original capture time are automatically embedded as metadata when you use the native camera during a form fill session. Storm can use this data to improve context when processing your photo — for example, anchoring a location or timestamp in a relevant field.
To reference a previous form, type or speak a natural language instruction (e.g., "copy over details from last form" or "same crew as the last pre-start"). Storm pulls from that form's content to fill the current one — even across different template types in the same folder. Storm notes which historical form it drew from. Photo files from historical forms cannot be referenced.
Step 4: Give Instructions While Recording
Speak or type instructions while recording or adding notes.
Examples of instructions include:
"Add five rows to the workers table"
"Rewrite this as a paragraph"
"Summarise this as meeting minutes"
"Add another bullet point"
Step 5: Review the Drafted Form
Review all generated responses.
Edit any fields if needed.
Complete any remaining required fields.
Save or submit the form manually.
Step 6: Run Additional AI Form Fill Sessions
Reopen the AI Form Fill canvas if required.
Add more recordings, photos, or instructions.
Continue updating the form progressively during the workflow.
Note: When re-running AI Form Fill on a form that already has content, Storm appends new information under the relevant headings. Existing content is preserved verbatim and never rewritten.
Using AI Form Fill Offline
Storm's AI Form Fill supports offline capture. Storm does not require an internet connection at the moment of capture.
If you lose connectivity on site:
You can still record voice notes, take a photo, and type notes in the AI Form Fill canvas
Inputs are saved locally on your device
Once your device reconnects to the internet, processing begins automatically
Storm does not automatically submit the form — you still review and save manually
Note: Processing cannot begin without an internet connection.
Notes
AI Form Fill must be enabled for your workspace.
Some templates or fields may have AI Form Fill disabled by your organisation.
Storm does not automatically submit forms.
AI Form Fill can continue processing in the background after the form is closed.
AI activity is recorded in the Form Activity Feed.
Tips
Speak clearly when recording voice notes.
Grouping in your dictation produces grouped output — 'Area A... Area B... north pit' yields area-headed bullets; 'concreters... steel fixers' yields trade-headed bullets.
Provide detailed context for better draft accuracy.
Minimise background noise during recordings.
Give direct instructions to Storm.
Review all outputs before submission.
Start with simpler workflows such as site diaries, daily reports, and inspections before using AI Form Fill in higher-risk workflows.
FAQ
Does AI Form Fill automatically submit forms?
No. Storm drafts responses for review, but users must manually save or submit the form.
Can AI Form Fill fill every field?
No. Storm's AI Form Fill only fills fields when it has sufficient confidence in the response.
What fields cannot be updated by AI?
Some field types are never filled by Storm regardless of input. See: Which Fields Does Storm's AI Form Fill Not Support?
Does AI Form Fill work offline?
Yes. Voice notes, photos, and typed notes captured offline are saved locally and processed automatically once connectivity is restored. Storm does not require an internet connection at the moment of capture.
Why can I only add one photo per session?
Sitemate Mobile currently supports one photo per AI Form Fill session. To include multiple photos, run additional AI Form Fill sessions on the same form — Storm will append new information without overwriting existing content.
What file types can Storm analyse?
Storm currently does not analyse PDF, Word, Excel, or video files.
Does AI Form Fill work inside Dashpivot Actions?
No. AI Form Fill currently does not work inside Dashpivot Actions.
What happens if my voice recording is interrupted by a phone call?
If an incoming call interrupts your recording, the app will pause the recording. Once the call ends, you can resume recording from where you left off. All audio captured before the interruption is retained — no audio is lost.
Can Storm carry over details from a previously completed form?
Yes. Type or speak a reference to a past form — for example, "copy over details from last form" or "use yesterday's site diary." Storm pulls from that form's content to fill the current one, even across different template types in the same folder. You can combine carry-over references with new instructions in the same prompt. Storm notes which historical form it drew from. Photo files from historical forms cannot be referenced.
Does the GPS or capture time metadata from my photo affect how Storm fills the form?
Yes, when available. When you take a photo via the native camera during a form fill session, GPS location and original capture time are automatically embedded as metadata. Storm can use this data alongside photo content to improve context — for example, anchoring a location or timestamp in a relevant field. This feature requires the latest version of the Dashpivot Mobile App.
