How to Sort and Filter Lists on Dashpivot Web

Learn how to sort and filter list items in Dashpivot Web, including sorting by list item A-Z or created date, and filtering by text properties.

Written by Nina Yang

Dashpivot Web lets you sort and filter list items to find what you need faster and control how lists display in forms. Sorting and filtering apply to the list view only — they do not affect how items appear to other users or how lists behave in templates and forms, except for list item ordering which applies globally.

Prerequisites

Before you begin make sure you have the following:

  • Plan: All plan types

  • Permission: Controller plan types - i.e. users who have edit access for the list

  • Skills Required: Dashpivot

  • Device Type: computer

  • Subscription: Dashpivot

Step-by-Step Instructions

How to set list item ordering

  1. Navigate to your desired list.

  2. Click the sort icon in the List item column header.

  3. Select your preferred ordering — A–Z or Z–A.

  4. This ordering will be applied globally across all templates and forms that use this list.

List item ordering in forms

This ordering option allows you to control how your lists are displayed globally within Dashpivot web. This ordering will be applied everywhere the list is used, including all linked templates and forms.

📓 Note: List item ordering is supported for linked lists in dropdown lists, multiple choice lists and table cell lists on Dashpivot web and the Dashpivot/Sitemate mobile app.

List filtering

List filtering allows you to quickly find specific items in your lists by searching across the list item column and text property columns. This is especially useful when working with large lists — for example, filtering an employees list by region or finding a specific item across hundreds of entries.

How to filter your list items

  1. Navigate to your desired list.

  2. In the column header for the List item column or any text property column, click the filter icon.

  3. A filter dropdown will appear. Type your search term into the search field.

  4. Click Apply filter to filter the list.

  5. The list will update to show only items matching your search.

Applying multiple filters

You can apply filters across more than one column. When a second filter is applied, it filters the rows currently in view — meaning the results may differ depending on the order filters are applied.

List view sorting

List view sorting allows you to reorder items in the list view by name. Your sort preference is personal — it only affects your own view and does not change what other users see.

How to sort your list items

  1. Navigate to your desired list.

  2. In the column header for the List item column, click the sort icon.

  3. The list will sort in A–Z order. Click the sort icon again to toggle to Z–A order.

Notes

  • Your sort preference is personal. It only affects your view and does not change the order that other users see.

  • List items are sorted in natural order. This means numbers appear in human-readable sequence — for example, 1, 2, 10, 20, 100, 200 — rather than lexicographic order (1, 10, 100, 2, 20, 200).

  • You can sort by List item (A–Z / Z–A) or Created date (newest / oldest).

Frequently Asked Questions

Does sorting a list change how it appears in forms?
It depends on the type of sort. List view sorting is personal — it only affects your own view in the list editor and does not change what other users see or how the list appears in forms. List item ordering, however, is global — it controls how items appear in dropdown, multiple choice, and table cell lists across all templates and forms that use the list.

Can I sort a list by created date?
Yes. Click the sort icon in the Created date column header to sort by newest or oldest. This is a personal sort preference and only affects your own view.

Can I filter a list by more than one column at once?
Yes. You can apply filters across multiple columns. When a second filter is applied, it filters the rows currently in view — so the order you apply filters may affect the results.
