How to use settings for form thumbnails and form sorting on Dashpivot Web

Form thumbnail and sorting settings in Dashpivot Web let you control how forms are displayed and ordered when viewed by users. These settings help make it easier to identify the correct form, improve navigation, and ensure forms are shown in a logical order based on your organisation’s needs.

Prerequisites

Before you begin make sure you have the following:

  • Plan: Active Dashpivot Web plan

  • Permission: Access rights to edit templates

  • Skills Required: Dashpivot

  • Device Type: Computer

  • Subscription: Dashpivot Web

Step-by-Step Instructions

  1. Open the template editor for the template you want to update.

  2. Select Settings within the template editor.

  3. Adjust the form thumbnail settings to control how the form preview image appears.

  4. Adjust the form sorting settings to control the order in which forms appear.

  5. Save the template to apply the changes.


Form thumbnail settings

Form thumbnail settings control the information shown on the form thumbnail when viewing forms in the timeline or workflow view. You can display up to five pieces of information in addition to the form creator’s name and the time and date stamp.

The additional information can be one of the following field types:

  • Text field (single line only)

  • Date field

  • List field

  • Form counter

These settings apply to everyone who can access the template and also update on the mobile and tablet app.


Form sorting settings

Form sorting settings control the order in which forms are shown. By default, forms are ordered by creation date. You can change this to sort forms by a date field or a single line text field included in the template, including non‑timezone‑aware date fields.

If no date is entered on a form, Dashpivot orders the form based on the creation date. If more than 2000 forms are recorded for a template, sorting reverts to the creation date in the Register View. These settings apply to everyone who can access the template and also update on the mobile and tablet app.


Important information about analytics

Any changes made to form sorting settings also affect analytics charts that use this data. Quantity values are plotted based on the date the forms are ordered by. If you change the sorting to use a date field on the form, this may affect where quantity values appear in analytics charts.
