Dashpivot allows you to store company policies and procedures directly within your Workspace, ensuring your team can easily access controlled and up-to-date documents. Storing policies centrally improves compliance, visibility, and document management across your company. This article explains how to upload and manage policies and procedures within your Dashpivot Workspace.

Step-by-Step Instructions
Create a specific Team Folder for storing static documents. Keep it separate from Project folders so all Contributors can access it.
Within the relevant Team Folder, create a new template.
Select the Timeline template type and name it clearly (for example, “Policy Register”).
Add a Default table to the template.
Add the required columns to the table, including at minimum:
Policy Name (Text cell)
Last Revision Date (Date cell)
Document (Attachment cell)
Click Save to save the template.
Open the template and create a new form. This will be the primary register form for storing your policies.
Complete the table by entering policy details and uploading the relevant documents (PDF format).
Use the blue + button in the bottom-left corner of the table to add additional rows as required.
Click Save to save the form.
Update this form whenever policies are revised or new documents need to be added.
Notes
Documents uploaded to the register must be in PDF format.
All PDF attachments will be fully visible when exporting or sending the form as a PDF.
You can add additional columns (for example, “Reviewed By”) to record revision details.
To collect worker acknowledgement signatures, add a Scan Sitemate ID table to allow Sitemate ID scanning and automatic copy distribution in the Sitemate app Activity section.
Alternatively, add a Manual Signature field to collect handwritten signatures.
To remove your name and picture from the Form Thumbnail, adjust this in Template Editor > Settings > Display on Form Thumbnail.
To lock the register, configure the template as a Workflow instead of Timeline and add an Approval signature after the table.
Ensure relevant users have access to the form by adding Dashpivot Contributors to the Team Folder or scanning Sitemate users using the Scan Sitemate ID field.
You can send the completed register as a PDF using the Send as PDF function within Dashpivot.
