How to create custom PDF filenames for your exports in Dashpivot Web

Dashpivot Web allows you to configure custom PDF filenames for form exports instead of using the default naming structure. Custom filenames can include template details, folder information, dates, and selected form field values. This helps improve document organisation, traceability, and record management when exporting PDFs. Custom filename settings are configured within the Template Editor.

Prerequisites

Before you begin make sure you have the following:

  • Plan: Pro, Premium, or Platinum (Custom fields not available on Standard)

    The number of custom fields you can include depends on your subscription:

    • Standard: Not available

    • Pro: Up to 2 custom fields

    • Premium: Up to 4 custom fields

    • Platinum: Up to 8 custom fields

  • Permission: Org Controller

  • Skills Required: Dashpivot

  • Device Type: computer

  • Subscription: Dashpivot Web

Step-by-Step Instructions

  1. Navigate to the folder (Home Folder or Team Folder) containing the template you want to configure.

  2. Open the Template Editor for the relevant template.

  3. Select Settings within the Template Editor.

  4. Open the Download Settings tab.

  5. Locate Custom PDF Filenames in PDF Downloads.

  6. Click the Edit PDF Filename option.

  7. Select the variables you want to include in the filename from the available dropdown options.

  8. Choose your preferred separator format (for example, hyphen, underscore, or space).

  9. Select the required text case format (lowercase, uppercase, or title case).

  10. Review the filename preview to confirm the structure.

  11. Click Save Changes.

Notes

  • The default PDF filename includes standard variables such as download date, file path, template ID, and form counter.

  • You can include between 1 and 10 variables in a custom filename.

  • Available variable options include:

    • Created by

    • Created date

    • Download date

    • File path

    • Form counter

    • Project Folder name

    • Team Folder name

    • Template ID

    • Template name

    • Workspace name

    • Static text

    • Single-line text, date, or list fields from your template

  • If configured in the Home Folder, the filename settings apply to all deployments of that template. If configured within a Team Folder, the settings apply only within that folder.
