How to download forms on Dashpivot Web

Learn how to download forms as PDFs or CSVs individually or in bulk and modify the file names in PDF downloads

This article explains how to download forms in Dashpivot Web. Downloading forms allows you to export individual forms as PDFs or export multiple forms as PDFs or CSV files for reporting, sharing, audits, or offline storage. This applies to forms accessed through the register view and template library in Dashpivot Web.

Before you begin make sure you have the following:

  • Plan: FreeTrial, Standard, Pro, Premium, or Platinum

  • Permission: Team Member (or higher)

  • Skills Required: Dashpivot

  • Device Type: computer

  • Subscription: Dashpivot

Step-by-Step Instructions

Accessing Form Download Options

There are two places where you can access form download options:

1. When Viewing a Single Form

  1. Open Dashpivot Web and navigate to the relevant project.

  2. Open the register for the required template.

  3. Click to open the form.

  4. Click Download PDF in the top left corner of the screen.

2. Exporting Data from the Register View

  1. Open the forms register.

  2. Select multiple forms using the checkboxes beside each form, or select all by clicking the checkbox in the top left.

  3. After making your selection, locate the download options along the top of the register.

  4. Select your export format:

    • CSV for opening in spreadsheet applications such as Excel.

    • PDF for a universal document format.

    • With Original Photos to include all attachments and images from the original forms.

  5. Download the data. The document will be exported in your chosen format.

If you want to download all forms for a company-wide template, navigate to the Template Library and follow the same selection and export steps as the register view. This allows you to bulk download all records across all projects without entering each project individually.

For bulk downloading records across multiple projects, use the Template Library and follow the same selection and export process used in the register view.

Downloading CSV Files

There are two ways to download a CSV file from the register view.

Standard Download

  1. Click the Download CSV button.

  2. Hover over Standard Download in the dropdown menu.

  3. Choose one of the options to download using the visible columns only.

  4. Adjust visible columns if required by clicking Edit Columns in the register view column settings.

The Standard Download does not autofill table row data. Its structure is clearer for reading individual forms.

Autofill Data

  1. Click the Download CSV button.

  2. Select the autofill option from the dropdown menu.

The autofill functionality fills down form-level data into each table row. This improves filtering and data processing in tools such as Excel and Power BI.

For example, you can filter any table row by Created By, Created Date, or other available template fields when using the autofill format.

Custom Filenames in PDF Downloads

Create a custom filename for single form PDF downloads within the template settings.

  1. Open the template in the Template Editor.

  2. Navigate to the downloads settings section.

  3. Click Edit PDF Filename in the Custom Filenames in PDF Downloads section.

  4. In the Edit filename modal, add or remove values in the filename structure.

  5. Reorder the values as required.

  6. Save your changes.

The updated filename will appear in the template settings preview.

If the custom filename exceeds the plan limit, the downloaded filename will revert to its default.


Custom Fields in Filenames

You can add up to 8 custom fields to your filename structure depending on your plan type. This feature is not supported on Standard plans.

Supported field types include:

  • Text field (single line only)

  • Date field

  • List field

  • Person field

Fields added to the template will appear in the filename structure dropdown.

These custom fields can also be used in the form thumbnail.

The customised filename applies only to file downloads generated via the form modal or individual files generated from the register view using the Forms only or Forms and Original Photos options. This feature is not available for register view downloads in the Home or Team folders.


Tips and Best Practices for Data Management

  • Regularly export critical forms and templates as backups.

  • Use the CSV format for data manipulation and integration with tools such as Excel.

  • Download PDFs when sharing finalised forms to maintain formatting consistency.

  • Automate data transfers to SharePoint, Excel, and other systems using Flowsite.
