Troubleshooting Xero Connection or Authentication Failed in Flowsite

Identify why the Xero connection or authentication failed in Flowsite and how to resolve it.

What’s happening

Users may experience:

  • “Connection Failed” or “Authentication Failed” errors

  • Xero flows no longer syncing

  • Repeated prompts to reconnect Xero

  • Failed sync jobs

  • Disconnected Xero connections in Flowsite


Why this happens

Common causes include:

  • Expired Xero connection tokens

  • Incorrect or missing Xero permissions

  • The wrong Xero organisation was connected

  • The connected Xero user was removed or changed

  • Browser session or authentication issues

  • Temporary Xero outages


How to fix it

1. Check the Xero connection in Flowsite

  1. Open Flowsite.

  2. Go to the Connections tab.

  3. Locate the Xero connection.

  4. Confirm the connection is active.

If disconnected, reconnect Xero.


2. Reconnect the Xero connection

  1. Open the Connections tab in Flowsite.

  2. Disconnect the existing Xero connection by clicking the trash icon.

  3. Create a new Xero connection.


3. Confirm Xero permissions

Ensure the connected Xero user:

  • Is active in Xero

  • Has access to the correct organisation

  • Has sufficient financial permissions

Reconnect the integration after updating permissions.


4. Retry using a private browser window

If authentication still fails:

  • Open an incognito or private browser window

  • Retry the connection process

  • Try another supported browser if needed


5. Check for Xero outages

Review the Xero status page for any active outages or API issues.


If the issue continues

If the issue still occurs:

  • Capture the exact error message

  • Confirm whether all flows are affected

  • Contact support with:

    • The Xero organisation name

    • The affected flow name

    • Screenshots of the error
