What are Lists in Dashpivot?

Lists allow you to create and manage standard sets of information (eg. people, plant, assets, cost codes, subcontractors, etc) in one central place and reuse them across your form templates.

Instead of manually typing the same information into forms, users can select from clean, standardised fields (using list fields or list table cells, as dropdown menus or multiple choice inputs). This reduces errors, speeds up form completion, and makes your data easier to search and analyse later.

Think of Lists as shared reference data that powers your templates, registers, and analytics.

This short overview video explains what Lists are, where they live in Dashpivot, and why they’re such a powerful feature.

How Lists work with Templates & Analytics

Once Lists are connected to your templates, they improve the entire lifecycle of your data, from capture in the field through to reporting and insights.

By using Lists, you can:

  • Enter information faster using dropdown menus instead of free text

  • Keep data consistent across forms and projects

  • Filter records easily in the register by list item

  • Break down and filter analytics charts by list values

Common Lists Use Cases

Below are some of the most common ways to use Lists in Dashpivot.

Employees / Personnel

Use Lists to maintain a central record of your workforce and reference employees consistently across forms.

You can:

  • Manage contact details and competencies

  • Track licence expiry dates with colour indicators

  • Set up automatic reminders for upcoming or overdue licences

  • Reference employees in templates like timesheets, inspections, or reports

Plant, Equipment & Vehicles

Lists make it easy to track assets and link them to inspections, pre-starts, and daily reporting.

You can:

  • Manage registration or serial numbers

  • Track service due dates with automatic reminders

  • Upload and store service records

  • Select plant or vehicles consistently in templates

Subcontractors & Suppliers

Use Lists to manage third-party details and compliance documentation in one place.

You can:

  • Store subcontractor contact details

  • Upload insurance records and documents

  • Track insurance expiry dates with automatic notifications

  • Reference subcontractors across templates and reports

Cost Codes

Cost codes often vary between projects. Dashpivot allows you to use the same templates across all projects, while showing a different set of cost codes per project.

You can:

  • Create a parent database for all cost codes available

  • Deploy list and assign specific cost codes to different projects
