How to Set Up a New Flow for Power BI on Flowsite

Learn how to set up Power BI flows on your Flowsite workspace using the Sitemate Suite

This guide explains how to set up a new flow for Power BI using Flowsite and the Sitemate Suite, and how to connect that flow to Power BI (Desktop and Browser). This workflow allows you to export data from the Sitemate Suite into Power BI for advanced reporting and visualisation, while reducing manual data handling.

Prerequisites

Before you begin make sure you have the following:

  • Plan: Pro, Premium and Platinum plans

  • Permission: Access to Flowsite, and a Sitemate Suite connection

  • Skills Required: Workflow Automation

  • Device Type: Computer/Browser

  • Subscription: Flowsite, Microsoft Power BI and the Sitemate Suite

Step-by-Step Instructions

1. In the Connections tab, ensure Dashpivot, Gearbelt, or Sitemate Start is connected

2. Select the Flows tab at the top & click Create Flow

3. A flow selector modal should appear with a thumbnail Hosted Source for Power BI — the card now shows Dashpivot, Gearbelt, and Sitemate Start as source options

4. Click on the flow thumbnail and a new Hosted Source flow will be created

5. Configure the flow by providing a Trigger time in the recurring time trigger block

6. Define the System, Workspace and Module Source

  • Dashpivot Templates → Paste the Template ID into the input ​

  • Dashpivot Actions → This will generate a CSV of the actions from the selected workspace

  • Gearbelt Source → Select the data type to generate a CSV of that data from the selected workspace e.g. inspections, assets etc

  • Sitemate Start Templates → Select Sitemate Start as the source, then choose the account-layer template. Flowsite will pull forms from all workspace copies of that template in a single export.

7. When configuration is complete, press Save. This will automatically trigger the first run of the flow before you link it to Power BI.

8. Open Microsoft Power BI to finalize linking the flow using the provided URL, username, and password generated by Flowsite.

Notes:

The Sitemate Start connection must be created by a user with Account Admin permissions. If that user is later demoted, the flow will error until a new connection is made.
