How to set up notifications for list property expiry dates

The Date Expiry property type within the Lists function, allows you to set up email notifications for when a date is coming up to expiration.

This can be useful for tracking employee drivers licences, trainings, next service due on any plant/vehicles etc.

Steps:

  1. Open up the list with the relevant Date Expiry field

  2. Click the bell icon on the top right hand-side of the column

  3. Select who needs to be notified from the dropdown menu

  4. Set when you want the notification to be sent, using the checkboxes

  5. Click Save

Notes:

  • You can select more than one user to be notified, as well as more than one checkbox for the frequency of notifications.

  • Notifications are only sent for future dates.

    • If you enable notifications after an expiry date has passed, you won't receive alerts for that date.

  • A notification’s expiry date cannot fall within the date range required for its reminder to trigger.

    • For example:

      • Today’s date: 1 Dec 2025

      • Notification expiry date: 15 Dec 2025

      If the notification’s reminder setting is changed from “Notify 7 days before” to “Notify 30 days before”, the system will check whether a reminder can still be triggered based on the new timing.

      If today’s date is already past the “30 days before expiry” point, the notification will not be sent. This is because the reminder window has already passed.
