How to use Storm's AI Text Fill over SMS and WhatsApp

Learn how to submit a form via SMS or WhatsApp, without having to download the Sitemate Mobile app.

Written by Nina Yang

Storm’s AI Text Fill feature lets you fill in a Dashpivot form by having a conversation over SMS or WhatsApp without downloading an app or logging in. Storm asks you the questions, you reply in your own words, and your answers are turned into a draft form for you to review and submit.

It works on any phone that can send a text message, which makes it a quick option for workers on site, subcontractors and visitors.

Prerequisites

  • Plan: All Plan Types

  • Permission: All users

  • Device Type: Mobile phone. To use WhatsApp, you'll need the WhatsApp app installed

  • Subscription: Dashpivot to set it up, but no subscription or account is needed to fill out a form

You’ll also need to make sure:

  • AI Text Fill is toggled on for your workspace: Your Org Controller can turn Text Fill on or off in Workspace settings. When it's off, the SMS and WhatsApp options won’t appear on your form's Sitemate Link.

Step-by-Step Instructions

Step 1: Start an AI Text Fill form via Sitemate Links

  1. Create a Sitemate link for the form you want to fill using AI Text Fill, or use an existing one

  2. Download the poster and scan the Sitemate QR code with your phone camera

  3. On the page that opens, choose Text or WhatsApp

  1. Tap Continue. A draft message to Storm opens in your messaging app, with the form link already written in. If you’re using a computer, you’ll instead see a QR code that you’ll need to scan with your phone camera.

A draft message will open in WhatsApp or your phone’s texting app with the form link already written in. Hit Send.

Step 2: Answer Storm's questions

Storm works through the form and asks you questions one message at a time. Reply in your own words, the same way you'd text a colleague. To speed up your form fill, you can:

  • Give as much detail as you can in one reply: Storm picks out answers to later questions too, so you won't be asked ones you’ve answered again.

  • Give multiple pieces of information in one message: For example, Storm may ask for your full name, date of birth, phone number and address in one message. You can answer them all in one reply.

  • Answer several checks at once: For multiple yes/no or pass/fail questions, you can reply "yes to all", "no to all" or "all good". You can also call out exceptions, such as "all good except the ladder".

  • Be specific with times and dates: "7:30am on Monday" works better than "early this week".

  • Reply in the language you’re most comfortable with: Storm will continue the conversation in the language you switch to, then fill the form in its original language

Adding photos

If the form has a photo field, Storm asks for a photo when it reaches that question.

  • On WhatsApp, send one or more photos in the chat, just like sending a photo to a friend. Storm adds them to the right field. The photo will be added to the photo gallery your Dashpivot workspace and your form.

  • On SMS, Storm will guide you to complete photo fields on WhatsApp. If you don’t have WhatsApp, let Storm know, and you can add photos when you review the form at the end.

Step 3: Review, sign and submit

When Storm has finished asking questions, it saves your answers to a draft form and texts you a link.

  1. Tap the link. The form opens in Sitemate Mobile Web.

  2. Check Storm's answers and make any edits.

  3. Tap Submit.

Note: Storm doesn’t submit your form for you. Your form is saved as a draft until you review and submit it.

Frequently asked questions

I don't see the Text or WhatsApp option on the Sitemate Link page.

Text Fill may be turned off for your workspace. Ask your Org Controller to turn it on in Workspace settings.

Does Storm submit the form automatically?

No. Storm saves your answers as a draft. You always review, sign and submit the form yourself.

What's the difference between SMS and WhatsApp?

Both work the same way for answering questions. WhatsApp also lets you send photos. SMS works on any phone without an app.

Does it support multiple languages?

Yes, Storm will continue the conversation in the language you switch to, then translate your answers to fill the form in its original language.

Can I start on one channel and finish on another?

Yes. Message Storm on SMS or WhatsApp from the same phone number and you'll carry on with the same form.

Can I fill in more than one form at the same time?

No. You can have one form in progress at a time, but you can pause it and come back to it later.

Can I use Text Fill outside Australia?

Yes. Storm connects you with the closest local number for your workspace's region where one is available. If there isn't a local number yet, you'll see a notice before you start, and international SMS rates may apply.

Is there an extra cost?

Message and data rates may apply. Standard SMS or data charges from your mobile provider apply. If there's no Sitemate number in your country yet, you'll see a notice before you start, as you may need to text an international number.
