Introduction
This guide explains how to set up a SharePoint Lists integration using Dashpivot and Flowsite. This flow syncs items from a SharePoint list into a Dashpivot list on a schedule, so the list stays populated from your SharePoint data without anyone copying items across by hand.
How Flowsite connects to SharePoint
Flowsite uses a User Consent flow to connect to SharePoint.
This approach:
Requires a user login, and
Ties consent to the specific user who authorises the connection
You may choose to create a dedicated Microsoft Entra ID user account with the minimal required permissions to authorise the connection and use the integration. The connection is tenant-scoped — one connection covers every SharePoint site in your Microsoft tenant.
📓 Please note that Flowsite does not currently support the Admin (App-Only) Consent flow to connect to SharePoint.
Prerequisites
Before you begin, make sure you have the following:
Plan: Premium or higher
Permission: Dashpivot Contributor
Skills Required: Workflow Automation
Device Type: Computer/Browser
Subscription: Dashpivot, Flowsite, Microsoft 365 (SharePoint)
Connections: a Dashpivot connection and a Microsoft (SharePoint) connection already set up in your Flowsite workspace
Destination list: the Dashpivot list you want to populate already exists (the flow fills an existing list — it doesn't create one)
Step-by-step instructions
Access your Flowsite workspace.
In the Connections tab, confirm you have connections to both Dashpivot and Microsoft SharePoint. On the Microsoft SharePoint card, select Connect and log in with a Microsoft account that has access to the SharePoint site you'll use.
Make sure the Dashpivot list you want to populate already exists, and copy its list ID — the 24-digit string in the list's URL in Dashpivot. You'll paste it in later.
Go to the Flows tab and select Add flow (top-right).
In the "Choose from our range of free flow templates" window, select the SharePoint Lists template ("Sync Microsoft SharePoint lists into Dashpivot Lists").
The flow editor opens with two blocks: a Recurring time trigger and a Sync SharePoint lists action.
On the Recurring time trigger, set the schedule:
Open the Sync SharePoint lists action. Under General, select your SharePoint Connection, then choose the SharePoint site.
Under Population, set where the data comes from and where it goes:
SharePoint list — the source list to sync (only custom SharePoint lists are shown; document libraries are excluded)
Dashpivot list ID — paste the 24-digit list ID from step 3
Under the column mapping, pair each SharePoint column (source) with the Dashpivot list property it should populate (destination). Select Add mapping to add more rows. At least one mapping is required. Only compatible Dashpivot property types are offered for each column, and some pairings show a short note explaining how the value is converted.
Select the green Save button (top-right). When prompted "Activate flow?", choose Save and Activate to start runs on the schedule, or Save Only to keep it as a draft. You can change the status (Active / Draft / Paused) later on the Settings tab.
(Optional) To run the sync immediately or rebuild the list from scratch, use Resync. Note: this archives all items in the destination Dashpivot list and resyncs every item from the source SharePoint list, so use it with caution.
Notes
The Dashpivot list must already exist — the flow populates it, it doesn't create it. The Dashpivot connection also needs access to that list.
Schedule times are in UTC.
The sync is one-way (SharePoint → Dashpivot). Items removed or deleted in SharePoint are archived in the Dashpivot list, not permanently deleted.
After the first full pull, subsequent scheduled runs transfer only items that have changed (new, updated, or removed). This keeps runs fast and avoids unnecessary overwrites.
Column types must be compatible. If a SharePoint column can't map to the chosen Dashpivot property type, that property isn't offered for it.
Because the SharePoint connection is tied to the user who authorised it, if that user's Microsoft account is removed or loses access, the connection will break and existing flows will stop running. To resolve this, create a new Microsoft (SharePoint) connection in Flowsite and update the affected flow to use it. See How to Connect Systems in Flowsite for guidance.
Supported column types: Text, Number, Currency, Date & time, Yes/No, and Choice. Multi-select Choice values sync as a comma-separated list; Yes/No syncs as "true"/"false" text; Currency syncs the amount only (no currency formatting).
Not supported in v1 (these columns won't sync): Person/Group, Lookup, Hyperlink/URL, Calculated, Image, Managed Metadata, Rating, and Location. Read-only and hidden columns are also excluded.
Large lists: SharePoint applies a 5,000-item threshold on filters and sorts over unindexed columns. If a filter on a large list returns an error, index that column in your SharePoint list settings.
FAQs
Does Flowsite support Admin (App-Only) Consent for SharePoint? No. Flowsite currently uses a User Consent flow to connect to SharePoint, which requires a user login and ties consent to the specific user who authorises the connection.
What happens if the user who authorised the SharePoint connection loses access? The connection will break and existing flows will stop running. To fix this, create a new Microsoft (SharePoint) connection in Flowsite and update the affected flow to use it.
Do I need to create the Dashpivot list before setting up the flow? Yes. The flow populates an existing Dashpivot list — it doesn't create one. Make sure the list exists and that your Dashpivot connection has access to it before setting up the flow.
What does Resync do? Resync archives all items in the destination Dashpivot list and resyncs every item from the source SharePoint list from scratch. Use it deliberately — for example, to rebuild the list after a mapping change.
What happens to items that are removed or deleted in SharePoint? They are archived in the Dashpivot list, not permanently deleted.
Can I view the results of each sync run? Yes. Each run is logged in the Runs tab in your Flowsite workspace. From there you can see the status of each run (Success, Failed, or Pending) and any errors, with categorised messages that describe what went wrong and what action to take.
Which SharePoint column types can I sync? Text, Number, Currency, Date & time, Yes/No, and Choice columns. Person/Group, Lookup, Hyperlink/URL, Calculated, Image, Managed Metadata, Rating, and Location columns aren't supported in v1.
Why does my filter return an error on a large list? You've likely hit SharePoint's 5,000-item threshold on an unindexed column. Index the column in your SharePoint list settings and try again.
