How to View Your Expiring Compliance Documents in Gearbelt

Learn how to locate, view, and download service record and repair record documents in Gearbelt.

Gearbelt allows you to manage and monitor compliance documents linked to your assets. By using the Documents module, you can easily identify compliance documents with upcoming expiry dates and take action before they expire.

Prerequisites
Before you begin make sure you have the following:

  • Gearbelt subscription

  • Gearbelt subscription

  • Understand Document States:

    • Documents can be in one of the following states:

      • Active

      • Archived

      • Deleted

    • Only Active documents are relevant for ongoing compliance tracking

    • Archived documents can be restored if needed.

View Compliance Documents from an Asset

  1. Go to Assets.

  2. Select the relevant asset from the list.

  3. Open the Documents tab.

  4. Review any attached Compliance documents and their expiry dates.

Export Compliance Documents (Optional)

  1. From the Documents module or Asset Documents, click Export as CSV.

  2. Download the CSV file.

  3. Use the included links and expiry date data to review or share compliance information externally.

Notes and Tips

  • Only documents with an expiry date set will appear as expiring.

  • Keeping expiry dates up to date ensures accurate compliance tracking.

  • Archived or deleted documents are excluded from active compliance reviews.
